Replacing a referee

How to replace a referee who has not responded or has declined.

When you can replace

While your reference check is in progress, you can replace a referee who is in one of these states:

  • Nominated (not yet invited)
  • Invited (not yet replied)
  • Declined
  • Undeliverable (the invitation could not be delivered)

You cannot replace a referee who has already replied or was already replaced.

We keep reminding a referee who is still to reply, up to the closing date. On that date the check closes, and after that no referee can be replaced.

How to replace

  1. Open the link in your most recent email from PreHire.
  2. Go to the referees section.
  3. Find the referee and click Replace.
  4. Enter the new referee's details.
  5. The new referee receives an invitation. The old referee's link is revoked.

Your employer can replace a referee too

Replacing is not only yours to do. The employer who raised the check has the same Replace on their own screen, so a referee whose invitation bounced can be swapped without waiting for you. Whichever of you gets there first, the outcome is the same: the new referee is invited and the old one is not contacted again. See Tracking checks.

If a referee declines

If a referee declines or says they are not the right person, we email you to let you know and ask you to nominate a replacement. That email has a new link, and the link from any earlier email stops working — so use the newest one.
